Klaviyo User Guide
How to connect Klaviyo to ShipAid, what it sends, how to turn on your notification emails, and how to disconnect. It takes about five minutes.
What the integration does
Connecting Klaviyo lets ShipAid deliver your order tracking and return emails through your own Klaviyo account instead of ShipAid's default sender using real, editable Klaviyo flows.
Once connected, ShipAid imports a full set of pre-built email flows directly into your Klaviyo account, one for each stage of a shipment or return. ShipAid triggers those flows automatically as your orders move (label created, out for delivery, delivered, return approved, and so on), and Klaviyo handles the actual sending.
You choose which notifications are turned on, pick the visual style of the emails, and can open any imported flow inside Klaviyo at any time to customize it further.
Connecting Klaviyo
Step 1: Open Notification Settings
- Log in to your ShipAid account.
- Navigate to: click Settings in the left-hand menu, then Notifications.
Step 2: Connect Klaviyo
- At the top of the page you'll see a Klaviyo Integration card.
- Click Connect Klaviyo.
Step 3: Authorize Klaviyo access
- Log in to Klaviyo if you're not already, and select the account you want to connect to.
- Review the permissions listed, then click Allow.
Step 4: Confirm the connection
- You're automatically redirected back to ShipAid's Notification Settings page no need to log in again.
- The Klaviyo Integration card now shows Connected, with your Klaviyo account name next to it.
That's it, you're connected. Next, pick a template and import your flows so notifications actually start sending (see below).
Permissions ShipAid requests
When you click Allow on Klaviyo's screen, you're granting ShipAid permission to:
- Read your account details confirms which Klaviyo account is connected and shows its name in ShipAid.
- Send events lets ShipAid trigger a flow the moment something happens (a label is created, a shipment is delivered, a return is approved).
- Read and write flows lets ShipAid import your notification flows and keep their live/draft status in sync with the toggle in ShipAid.
- Write email templates lets ShipAid create the actual email designs used inside each imported flow.
- Read metrics lets ShipAid show you accurate send counts for each notification.
ShipAid only reads and writes data belonging to your own store's connected Klaviyo account, never any other merchant's.
Choosing a template and importing flows
ShipAid has two notification types: Customer Notifications for order tracking, and Return Notifications for returns, each with its own template and flows. Set up one, the other, or both, the same way.
Step 1: Pick a notification type
- On the Notification Settings page, choose the Customer Notifications or Return Notifications tab.
Step 2: Choose an email design
- Next to the Email template, click Edit.
- Click a design to preview every notification email in that style.
- Click Use this template once you've picked one.
Step 3: Import your flows
- Back on the Notification Settings page, click Import flows.
- This builds every flow directly inside your connected Klaviyo account, live and ready to send.
Step 4: Confirm they're set up
- The page updates to show 9/9 flows configured (or 7/7 for returns) once every flow has been imported.
- You'll see the message "Your template has been updated and set live!"
- Switching to a different design later and importing again replaces the active template your previous flows stay in Klaviyo but stop being used.
Turning notifications on or off
Once your flows are imported, each one has its own row in a table below the template picker, with a live switch and send count.

Switch a notification to Live to start sending it, or back to Draft to pause it. Either way, the change applies instantly in your Klaviyo account too. Volume shows how many emails that notification has actually sent.
What data ShipAid sends
ShipAid sends one event to Klaviyo for each stage below, which is what triggers the matching flow.
Customer Notifications, order tracking:
Pre-transit, In transit, Out for delivery, Delivered, Available for pickup, Failed attempt, Delivery exception, Returned to sender, Shipment cancelled
Return Notifications:
Return created, Return approved, Label created, Shipment reminder sent, Return expired, Refund processed, Store credit issued
Each event carries the details its email needs to personalize itself: order number, tracking link, carrier and delivery date, item name and photo, and similar order-specific details.
Editing your flows in Klaviyo
The imported flows are ordinary Klaviyo flows, open them anytime to make them your own.
From the Notification Settings page, click View flows to jump straight to your Flows list in Klaviyo. Open any imported flow to change its subject line, add an SMS step, adjust timing, or edit the design, Klaviyo treats it exactly like a flow you built yourself. ShipAid keeps triggering it the same way regardless of what you change inside.
Disconnecting Klaviyo
Step 1: Go to Notification Settings
- Click Settings, then Notifications.
Step 2: Disconnect
- In the Klaviyo Integration card, click Disconnect.
- ShipAid stops sending new events to Klaviyo immediately.
Your imported flows stay in your Klaviyo account, ShipAid just stops feeding them new events. Any email already queued in Klaviyo will still be sent.
